Somebody decides on a Sunday night to sort themselves out. If the only way in is to come to the desk on Monday during staffed hours, a good share of that motivation is gone by Tuesday.
Classes fill instantly, then half the room no-shows
The popular class is booked out in minutes and then runs at two-thirds capacity because people booked and forgot. Meanwhile there was a waiting list that never got told.

How we'd fix it
The first job is letting people join at the moment they decide to. Membership options on the site, sign-up and payment completed online, direct debit or recurring card set up there and then, and access details issued immediately. The gap between deciding and joining is where most potential members are lost.
The second is making classes behave. Capacity limits, a real waiting list that automatically promotes people when someone drops out, and a no-show policy that has consequences - because an unenforced no-show policy is the reason your busiest class runs half empty. Add attendance tracking and you can see who has stopped coming while there is still time to do something about it.

In practice
A worked example: the class that was always full and never full
A gym had a Monday evening class that booked out within minutes of the timetable opening and then routinely ran with a third of the spaces empty. People booked it as insurance, then went out for tea instead. Meanwhile eight or nine people had wanted in and been told it was full.
Two changes fixed it. The waiting list became automatic, so a drop-out at four in the afternoon offered the space to the next person immediately rather than leaving it unfilled. And repeated no-shows started carrying a consequence, which changed how casually people booked. Same class, same instructor, considerably fuller room.

Gyms - the questions I get asked
Can members join and pay online without coming in?
Yes, and it is usually the single biggest win. Someone decides at nine on a Sunday evening that Monday is the day. If they can pick a membership, agree the terms, set up the payment and get their access details there and then, you have got a member. If they have to come to the desk during staffed hours, a good proportion of them never do.
How are recurring payments handled?
Through direct debit or recurring card payments, depending on what suits. Direct debit tends to be cheaper on higher-value memberships and is what most members expect from a gym; card is quicker to set up. Either way, failed payments are picked up automatically and chased, which is money most gyms lose track of.
Can members freeze or cancel themselves?
Within whatever rules you set. Most gyms allow a freeze of up to a certain number of months and require notice to cancel. Letting members do it themselves inside those rules removes a lot of desk time, and it is also better for you legally - everything is timestamped and recorded rather than depending on somebody remembering a conversation.
What can we do about class no-shows?
Two things that work together. An automatic waiting list that fills spaces the moment somebody drops out, and a consequence for repeat no-shows - a warning, then a temporary block on advance booking. Both are enforced by the system, so staff never have to have the conversation.
Can it work with our door access system?
Often, yes. Many access control systems have an API or accept a member list import, so an active membership means the door opens and a lapsed one does not. Tell me which system you have and I will check exactly what it supports before quoting rather than assuming.
