Estate agents

Property listing and viewing systems for estate agents

Estate agency is a speed business. The agent who gets an instruction live first, gets viewings booked fastest and gets back to a valuation enquiry soonest is usually the one who wins the instruction.

An illustration of the kind of screen this builds towards - yours is built around how your estate agency actually runs.

The reality

Where the time and money goes in an estate agency

Viewings arranged by phone tag

Three calls to line up a Saturday viewing between an applicant, a vendor and a negotiator. Multiply that across a week and it is most of somebody's job.

Valuation enquiries go cold quickly

A homeowner requesting a valuation is usually asking two or three agents on the same evening. Whoever responds first has an enormous advantage, and after a day the enquiry is effectively gone.

New instructions are not pushed to applicants

You have a register of buyers looking for exactly this house, and the property goes on the portals before anyone tells them.

Vendors ring for updates

Every vendor wants to know how many viewings, what the feedback was and what is happening. Those calls are constant and mostly answerable by a page.

Getting a property live takes too long

Photos, floorplan, EPC, description, portal upload. If that takes two days, that is two days of the busiest period in a listing's life.

The approach

How we'd fix it

The two things worth automating first are viewings and valuations. Viewings booked from the property page against real availability remove most of the phone tag, and confirmations go to everybody involved automatically. Valuation requests need an instant acknowledgement and a booked appointment while the homeowner is still on the site, because they are asking your competitors the same evening.

After that, applicant matching does the quiet work. When an instruction goes live, everybody on the register whose requirements it matches hears within minutes rather than after the portal update. That is how properties get viewings booked before they have properly hit the market, and it is a genuine advantage over an agent whose register sits in a spreadsheet.

What we build

Built for estate agencies

Listings live in minutes

Photos, floorplans, EPCs and descriptions uploaded quickly, published immediately and fed to the portals.

Online viewing booking

Applicants book from the property page against real negotiator and vendor availability, with confirmations to everyone.

Instant valuation requests

Acknowledged immediately and turned into a booked appointment while the homeowner is still deciding who to ask.

Applicant matching and alerts

New instructions pushed to matching registered buyers within minutes of going live.

Vendor update pages

Viewings, feedback and interest visible to the vendor whenever they want, which removes a lot of routine calls.

Feedback captured after viewings

Automatic requests to applicants after a viewing, collected and passed to the vendor without a chase.

What changes

The difference it makes

  • Viewings get booked without three phone calls each
  • Valuation enquiries are answered while the homeowner is still deciding
  • New instructions reach the right buyers before they hit the portals properly
  • Vendors ring less because they can see what is happening

In practice

A worked example: the first hour

An agency looked at where its instructions actually came from and found the pattern was almost entirely about response time. Homeowners requesting a valuation were contacting two or three agents in the same sitting, and the one who got a call or an appointment booked first won a disproportionate share, regardless of fee.

An instant acknowledgement with the option to book a valuation appointment there and then - including evenings and Saturday mornings - changed that. The homeowner has an appointment in the diary before the other agents have opened their emails. It is not a sophisticated piece of software; it is simply being first, made automatic.

The systems behind it

What this is built from

Everything on this page is put together from the same handful of systems, shaped around how estate agencies actually work.

Questions

Estate Agents - the questions I get asked

Can applicants book viewings themselves?

Yes, against real availability - the negotiator's diary and, where the vendor wants it, the vendor's own availability windows. Confirmations go to everybody automatically. It removes the three-calls-per-viewing routine, and applicants book far more readily at nine in the evening than they ring at nine in the morning.

How quickly can we respond to valuation requests?

Instantly, if the form offers an appointment rather than just acknowledging the enquiry. The homeowner picks a slot while they are still on the page. Given they are usually asking two or three agents the same evening, having the appointment in the diary before your competitors have read their email is worth a great deal.

Can new listings be pushed to our applicant register?

Yes, matched on their requirements - type, bedrooms, price range, area - and sent within minutes of the property going live. That is how you get viewings booked before it has properly hit the portals, which is exactly the window where a keen buyer is paying attention.

Will it feed to Rightmove and Zoopla?

In most cases yes, using the feed formats the portals accept, so you enter a property once and it appears everywhere. The specifics depend on your agreements and your existing CRM, so it is worth confirming what is in place before we build.

Can vendors see what is happening without ringing us?

Yes, and it saves a surprising amount of time. Each vendor gets a page showing viewings booked, feedback received and how much interest the listing is getting. Most of the routine "any news?" calls stop, and the vendors feel better informed rather than worse.
