Beauty salons
Booking systems for beauty salons and treatment rooms
Beauty is the trade with the most fiddly scheduling rules of the lot: two resources per appointment, treatments that legally need a patch test first, and packages that get paid for once and used six times.
Wednesday - Room 1
2 rooms · 4 therapists · clean-down 10 min
An illustration of the kind of screen this builds towards - yours is built around how your beauty salon actually runs.
The reality
Where the time and money goes in a beauty salon
You need a therapist and a room, both free
A free therapist with no room is no use, and a free room with nobody to staff it is no use either. Diaries that only track people double-book the rooms constantly.
Patch tests get missed
Lash extensions and tints need a patch test 24 to 48 hours before, and it is on you to prove it happened. Chasing that by phone the day before is a job nobody wants, and skipping it is an insurance problem waiting to happen.
Courses and packages are tracked on paper
Somebody buys six sessions of a treatment. Three months later nobody is quite sure whether she has had four or five, and there is an awkward conversation at the desk.
Consultation forms eat into the appointment
Ten minutes of a fifty-minute slot goes on paperwork the client could have done on her phone the night before, and the forms then live in a folder nobody can search.
Vouchers are sold in a rush at Christmas
Half of December's takings can be gift vouchers, and they are usually sold by hand, written out at the desk, and impossible to check when somebody turns up in March with a card.
The approach
How we'd fix it
A beauty system has to book two things at once - the therapist and the room or piece of equipment - and only offer slots where both are genuinely free for the whole treatment, including the clean-down afterwards. That one rule removes most of the day-to-day friction in a salon diary.
On top of that sit the things that are specific to beauty: patch test tracking that will not let a lash appointment be booked without one on file, course balances that count themselves down, consultation and medical forms completed online before arrival, and gift vouchers sold from the website with a code that can be checked in a second at the desk.
What we build
Built for beauty salons
Therapist and room booked together
Every treatment knows which room or machine it needs. Slots only appear when the therapist, the room and the clean-down time all line up.
Patch test rules built in
Treatments that require a patch test cannot be booked without a valid one on file, and the reminder to come in for it goes out automatically.
Courses and packages
Sell a course of six, and the balance counts itself down as sessions are used. Everyone can see what is left, including the client.
Consultation forms before arrival
Medical questionnaires and consent forms completed on a phone the night before, stored against the client record and searchable later.
Gift vouchers sold online
Sold and paid for on the website, delivered by email with a code, redeemed against any booking. Particularly worth having before December.
Deposits on the long treatments
A no-show on a ninety-minute treatment is a serious hole in the day. Deposits are set per treatment rather than across the board.
What changes
The difference it makes
- Rooms stop being double-booked, because the room is part of the booking
- Patch tests stop being chased, and there is a record if you ever need one
- Course balances stop being argued about at the desk
- Voucher sales run themselves through the busiest month of the year
In practice
A worked example: two rooms, four therapists
A salon with two treatment rooms and four therapists had a recurring problem that looked like a staffing issue and was actually a scheduling one. On paper they had plenty of therapist hours. In practice, two rooms meant only two treatments could ever run at once, so the third and fourth therapist spent chunks of the day on reception.
Once the rooms were part of the booking, the picture became obvious and the diary started filling logically - short treatments that do not need a room went into the gaps, and the long room-based treatments were spread rather than clustered. The same staff, the same rooms, noticeably more treatments in a week.

Questions
Beauty Salons - the questions I get asked
Can it stop lash appointments being booked without a patch test?
Yes, and this is one of the most requested features in beauty. You mark which treatments require a patch test and how long it stays valid. If a client has not got a current one, the system offers them a patch test appointment first instead of letting the booking through. The record is kept, which matters for your insurance as much as for the client.
How do treatment courses work?
A client buys a course - six sessions, say - and pays once. The balance sits on their record and counts down as sessions are used, so both you and the client can see exactly what is left. You can set an expiry if you want one, and unused balances show up in reporting so nothing is quietly forgotten.
Can clients fill in consultation forms before they arrive?
Yes. The form goes out with the booking confirmation and takes a couple of minutes on a phone. It saves ten minutes of the appointment, the answers are stored against the client record where you can search them, and you are not keeping a folder of paper you would struggle to produce if anyone ever asked.
Can we sell gift vouchers on the website?
Yes, and for most salons that is worth doing before Christmas rather than after. Vouchers are bought and paid for online, sent by email with a code, and redeemed against any booking. The balance is checked in a second at the desk instead of squinting at a handwritten card from eight months ago.
We use different rooms for different treatments. Can it cope?
That is exactly what it is built for. Each treatment is linked to the rooms or equipment it can use, and slots only appear when a qualified therapist and a suitable room are both free for the full duration plus clean-down. It is the single biggest cause of double-bookings in beauty and it disappears once the room is part of the booking.
